Resignations / Leave of Absence
1. A Notice of Resignation letter must be submitted when an employee resigns or retires.
a-Any classified employee (full or part-time) who resigns is required to give two weeks’ notice and must submit a signed letter of resignation or a notice of resignation form to the principal or director. The principal/director immediately sends the employee's resignation papers to the Department of Human Resources.
b- A full-time classified employee requesting a Leave of Absence first submits the request to the principal or director for approval. The principal or director then sends the form to the Department of Human Resources for final approval.
c- The Employee Benefits Notification Form will be sent to the employee by the Department of Human Resources upon receipt of a letter of resignation. The employee must complete and sign the form then return it to the Department of Human Resources within three weeks.
a- Full-time Classified Opening: A position will open for advertisement ONLY UPON receipt from the principal/director of a Position Advertisement-Classified form along with either a copy of a resignation, retirement, leave of absence request, or the allocation of additional FTE. This information must be submitted to Brent Burge. Positions will be posted on the district website for five (5) working days.
b- Part-time Classified Opening: Call the Department of Human Resources for a list of
applicants, or come to Human Resources and review employment applications.
Application Review
Once a position has closed after five working days, the principal or director contacts the Department of Human Resources to schedule a time to screen the applications. Applications are screened based on applicable work experience, education, training or other applicable skills and knowledge.
Hiring Process
1. Interviews are then scheduled and conducted. Only administration staff may participate in the interview process.
a- Full-time Classified: The Human Resources Administrator will ask questions which relate to the job description of the position. Each applicant will be asked the same questions. The principal or director completes the Position Interview Form (Classified Employees) and the Reference Check Form (three references are required) and sends them to Human Resources. Once approval is obtained, the principal or director will contact the selected applicant and offer the position. Salary placement will be handled through the Department of Human Resources, NOT by the principal or director.
The principal or director calls or sends letter of regret to each candidate not selected (Sample regret letter).
b- Part-time Classified: The principal or director should interview candidates, asking appropriate job-related questions. Each applicant must be asked the same questions. Check references and select the candidate best qualified for the position. The new employee should be informed that the position may or may not be available the following school year. Send letters of regret to candidates not selected.
2.
a. The principal or director should inform the “new hire” that he/she will receive information from the Department of Human Resources that includes instructions as to when they may come to Human Resources to obtain and sign the proper hire papers (insurance, retirement, etc.).
b. The principal or director then completes the Hire/Change form the same day and sends it to the Department of Human Resources, along with the completed Reference Check Forms.
An applicant is not considered hired, and MAY NOT WORK, until the hire form has been received and approved by the Department of Human Resources.
